AutoScheduler
AutoScheduler is an AI-powered scheduling feature, designed for Properly’s mobile app, part of its B2B SaaS platform for Airbnb property managers. Timeline: Feb – Apr 2024
It solved one of our clients’ most critical pain points, a time-consuming, manual coordination flow between hosts and cleaners that caused delays, errors, and unnecessary stress.
The goal was to transform this complex, error-prone process into a seamless flow that saved property managers over 10 hours weekly and increased inbound leads from 5 to 8 per week.

Me
I led the end-to-end design process, from research, user flows and information architecture to high-fidelity mobile mockups and interactive prototypes in Figma. Throughout the project, I collaborated closely with product managers and engineers to align client needs with business goals, resulting in a design that streamlined operations for property managers, improved overall workflow efficiency, and strengthened Properly’s product value and market adoption.
High-Fidelity Mockups
Designed in Figma with a human-centered focus, creating an interface that’s easy to use, pleasant to look at, and consistent across the entire scheduling flow.
Flexible Scheduling Mode
Managers can set lead-time alerts to avoid last-minute issues, while smart updates automatically reschedule, cancel, or notify providers on changes, keeping the workflow effortless and always in sync.

1.Relative Mode: Defines timing relative to check-in or check-out

2.Fixed Mode: Lets managers set a specific start time for stable, recurring schedules.

3.Flexible Mode: Allows choosing a start-time range, giving cleaners freedom to plan routes efficiently.

Service Provider Assignment
Assign primary and backup providers for each job.
If the primary doesn’t respond, the backup is auto-assigned on a first-come, first-served basi, ensuring no task goes unfilled.

1.Primary Provider: Displays the default cleaner with confirmation status and availability.

2.Backup Provider: Automatically assigned if the primary declines or times out.

Property Calendar Overview
After publishing, managers can view all scheduled jobs in one property calendar, complete with “New” tags, automation toggles, and quick actions like edit, duplicate, or delete.

Managed the full design cycle, from exploring user needs and conducting competitor research to mapping flows and crafting wireframes that brought AutoScheduler to life.

The Challenge
Interviewed six property managers (30–60 properties each) with support from Customer Success manager. Findings showed that last-minute changes caused hours of rescheduling, and lack of real-time visibility led to missed cleanings and bad reviews, proving the need for an automated solution.

The Solution
AutoScheduler made scheduling seamless and intelligent, what once took hours now happens in minutes with AI assignments and every job stays visible in one place. It’s a true transformation from stress to simplicity.
Competitor Research
Before defining the solution, I benchmarked leading property management tools (Hostaway, Guesty, and TurnoverBnB). Most relied on manual scheduling, dense data tables, and offered little automation or transparency.

Hostaway Weaknesses:
-
No primary/backup cleaner option.
-
Manual reassignment needed.
-
Limited turnover automation.

Guesty Weaknesses:
-
No flexible or fixed scheduling.
-
Limited check-in/out control.
-
Basic automation, manual fixes.

TurnoverBnB Weaknesses:
-
Marketplace focus workflows.
-
No AI rescheduling.
-
Manual reassignment.
Information Architecture
Structured the system around Properties → Jobs → Providers to create clarity, reduce complexity, and support automation at scale.

User Flow
Designed the end-to-end flow from job creation to publishing, ensuring a seamless, transparent scheduling experience for property managers.

Wireframes
I created low-fidelity wireframes to define layout, hierarchy, and interaction flow early. This helped validate core actions before moving to high-fidelity design, ensuring the experience felt clear from the start.

A few months after launch, clients reported saving over 10 hours weekly, and inbound leads grew from 5 to 8 per week. It proved that when design and engineering move in sync, teamwork turns into measurable impact.
